Five AI workflow tools: monitoring and buying checks

Reviewed 14 October 2026. This guide is a procurement checklist. Vendor pages change by region, plan and billing basis. Confirm a UK quote showing pounds, tax treatment, minimum commitment and usage allowances before relying on a price.
Start with what needs monitoring
For each workflow, define its owner, trigger, data inputs, completion condition and failure path. Monitor successful completion, exceptions, processing time and total running cost. A dashboard that counts activity without identifying failed business outcomes is not enough.
Five platforms to investigate
| Platform | Evidence to request in a demonstration |
|---|---|
| FlowForma | A trace from submitted form to completed process, with exception handling and audit export |
| Automation Anywhere | Bot-run history, failed-task handling, credential boundaries and the cost of unattended execution |
| Creatio | The exact edition, modules and usage allowance needed for the workflow, with monitoring and access controls demonstrated |
| Kissflow | Workflow ownership, approval history, integration failures and exportability |
| Microsoft Power Automate | Required connectors, environment administration, run history and licensing for the proposed automation |
These are questions for a shortlist, not confirmation that every edition provides every control. Test the edition and configuration that would appear on the contract.
Compare the full cost
Separate user access, bot or process licences, premium connectors, AI consumption, storage, implementation and support. Use the same annual volume assumptions for every quote. Include the cost of failed runs and human exception handling.
Automation Anywhere’s often-quoted USD 750 starter package comes from a May 2020 announcement. It is not a current £750 UK offer. Obtain current terms rather than carrying that launch figure into a budget.
Run a bounded pilot
- Choose one process with a measurable baseline.
- Use representative inputs, including incomplete records, access failures and duplicate submissions.
- Require a clear human escalation route and a way to stop or reverse incorrect writes.
- Inspect the evidence available to the operator after a failed run.
- Agree who owns monitoring and maintenance after handover.
For a scoped review, see Workflow Automation. Use the vendor due-diligence checklist to document contracts and data handling alongside the technical trial.
