AI consulting for UK SMEs

AI consulting for SMEs is a practical, budget-conscious approach to adopting artificial intelligence in small and medium-sized businesses. Rather than large-scale enterprise programmes, it focuses on identifying specific, high-impact use cases that can be delivered quickly with minimal disruption to existing operations. The AI Consultancy works with UK SMEs across most sectors, specialising in Claude.ai Team rollouts, bespoke Claude workflows, and ChatGPT Business deployments. Engagements start from GBP 1,500 and most are live within 2 to 4 weeks.

Why UK SMEs are adopting AI in 2026

Three commercial drivers explain the volume of SME AI adoption we are seeing in 2026.

  • Cost has fallen. A configured Claude.ai Team or ChatGPT Business rollout for a 10-person team costs around GBP 250 to GBP 300 per month. Token-based API pricing has continued to fall through 2025 and 2026, and prompt caching reduces repeated-input costs by up to 90 per cent on Claude.
  • Setup time is now days, not months. The first-rollout pattern for a small team is one to three days of setup plus role-specific training. Most clients are issuing their first round of AI-assisted work within a week of kick-off.
  • Funding routes are open.Innovate UK BridgeAI, Smart Grants, R&D tax credits, and Help to Grow Digital variants can subsidise meaningful parts of a first AI project for an eligible UK SME.

The trade-off is that bad rollouts have become cheaper and faster too. Adopting AI without a usage policy, prompt logging, or a measurement plan is a fast way to ship shadow IT and an unmeasurable spend line. We design every SME engagement so that the governance footprint is proportionate to the rollout, never absent.

Common AI use cases for UK SMEs

The patterns below cover the majority of SME engagements we run. Each is a narrow, repeatable use case with a clear success measure.

Internal knowledge assistant

Claude.ai Team or Enterprise grounded in your shared drive, CRM, or document management system. The pattern that drives most of the time-saving for professional services and advisory firms.

Customer-facing chatbot

A bounded conversational interface with handoff to a human, audit logging, and a tight tool whitelist. Used most often for first-line support, FAQ deflection, and lead qualification.

Voice agent for inbound calls

Voice AI for appointment booking, call triage, and missed-call rebooking. Used most often by dental and medical practices, hospitality, and trades businesses with a high volume of inbound calls.

Document processing pipeline

Extracting structured data from PDFs, emails, or supplier portals into a CRM or accounting system. The pattern that pays back fastest where manual data entry is the bottleneck.

Sales and marketing automation

Lead scoring, automated qualification, personalised outreach drafting, and CRM hygiene. The pattern most often combined with a measurement plan because the conversion uplift is directly observable.

Meeting and admin automation

Transcription, action-item extraction, and follow-up drafting. Used by parish councils, small consultancies, and advisory firms to recover hours of weekly administrative time.

What do you get?

  • 1.Discovery session covering current workflows, the highest-value opportunities, and any data sensitivity constraints.
  • 2.Prioritised shortlist of quick wins ranked by ROI, ease of implementation, and regulatory exposure.
  • 3.Implementation of the agreed solution using configured tooling or lightly customised AI workflows.
  • 4.A one-page acceptable use policy aligned to UK GDPR, with approved tool list and prompt-logging guidance.
  • 5.Role-specific staff training so the team can use and maintain the solution independently.
  • 6.Post-launch check-in with a written ROI report against the baseline.

Worked examples from SME delivery

Reading-based courier SME

LIZR Ltd, a light commercial vehicle and courier business that had reached profitability on a 2.2% net margin. The AI Consultancy delivered a strategic growth blueprint, a phased AI tech stack across dynamic route optimisation and back-office automation, and a funding roadmap totalling GBP 115,000 to GBP 225,000. Projected 120% EBITDA uplift in year one and a sub-four-month payback period.

What does AI consulting cost for an SME?

SME AI consulting engagements start from GBP 1,500. That covers discovery, implementation of a single AI solution, and staff training. Multi-solution engagements are typically GBP 3,000 to GBP 8,000 depending on scope. Ongoing managed support arrangements are priced separately on a monthly retainer. We are transparent about costs and will not recommend solutions that exceed your budget; if the right answer is a configured tool at GBP 25 per seat per month rather than a bespoke build, we say so.

Where the work qualifies for an Innovate UK BridgeAI grant, a Smart Grant, or an R&D tax credit claim, we run that screening as part of the engagement. See our grant-funded AI implementation service for the application route.

Frequently asked questions

Is AI realistic for a small business with a limited budget?+
Yes. Many AI tools now operate on a pay-as-you-go basis (Claude Pro at around GBP 17 per user per month, ChatGPT Plus at GBP 20 per user per month). Configured rollouts of Claude.ai Team or ChatGPT Business start at GBP 25 per seat per month and need only one or two days of setup. Bespoke automations using API access cost more upfront but deliver larger time savings. Our SME engagements are designed to deliver measurable value within constrained budgets, typically starting from GBP 1,500.
What kind of AI projects work best for SMEs?+
The highest-impact projects for SMEs tend to be customer service automation (chatbots, email triage, missed-call rebooking), document processing, lead qualification, appointment scheduling, meeting-note automation, and repetitive data entry. These deliver clear time savings with low technical risk. The single most common engagement we run is a configured LLM rollout (Claude or ChatGPT) for a 5 to 30 person team, with role-specific training and a written acceptable use policy.
Do we need technical staff to maintain the AI after delivery?+
Not necessarily. We design SME solutions to require minimal ongoing technical maintenance. The configured-rollout pattern needs no internal technical owner beyond a basic admin contact. Bespoke automations need a named owner inside the business who understands the workflow, but they do not need a developer. Where a solution does need active monitoring, we provide a managed support arrangement and document the failure modes upfront.
How quickly can an SME see results from AI?+
Many SME projects deliver measurable results within 2 to 6 weeks. Configured LLM rollouts can be live within days. Workflow automations on a single tool typically take 2 to 4 weeks. We prioritise quick wins to build internal confidence and demonstrate value before tackling larger initiatives. The first ROI report runs at the end of a 2 to 4 week post-launch window.
Can you help us apply for UK government AI funding?+
Yes. We screen for eligibility against Innovate UK BridgeAI, Smart Grants, Knowledge Transfer Partnerships, and R&D tax credits. Our readiness assessments and strategy documents are routinely used as supporting evidence in funding bids. Where the work itself is grant-fundable we run the application alongside delivery, including project initiation templates, monthly progress logs, and HMRC-compliant expenditure tracking. See our grant-funded AI implementation service for the full route.
What is the difference between this service and AI Strategy or AI Implementation?+
AI for SMEs is a packaged engagement combining discovery, implementation, and training in a single short-cycle delivery (2 to 4 weeks, GBP 1,500 upwards). AI Strategy is a longer-form engagement producing a written strategy and roadmap, useful for businesses with multiple competing AI use cases or board-level governance pressure. AI Implementation is the larger, technical-only delivery service for businesses that already know what to build. Most SMEs start here and graduate to one of the other services as they scale.
Do you work with Claude, ChatGPT, or both?+
Both. Claude (from Anthropic) is our 2026 primary platform for document-heavy work, long-context reasoning, and regulated sectors. ChatGPT (from OpenAI) is the better fit for high-volume creative output, omnimodal tasks, and teams already standardised on the OpenAI ecosystem. Most SMEs end up running both at low cost, with one as the primary daily driver and the other available for specialist tasks. The recommendation falls out of the use case, not the other way round.
What if our data is sensitive or regulated?+
We design the residency and governance posture into the engagement. For SMEs handling regulated client data (solicitors, IFAs, accountants, dental and medical practices), the right answer may be an on-premises AI deployment rather than a cloud LLM rollout. Our Private AI Concierge service delivers an on-premises agent on a Mac mini or Mac Studio with optional cloud fallback in hybrid mode. We will recommend whichever fits the regulatory reality, not whichever is fastest to install.
